Simple Ways to Fill Vacancies Quickly, Carefully, Intelligently

Vacancies can come up at the most unexpected times. The end of a year, even though it’s a holiday season, is no exception. Neither are the early months of winter when fewer moves occur.

That’s why property managers need multiple ways to attract new residents that work all year round. It’s also effective to have many clever methods that will fill vacancies as quickly as possible.

Last year I began an ongoing series of articles on this topic. The response from readers has been encouraging, which led to an article where I shared property managers’ secrets for filling vacancies.

Before I add to your “arsenal” on this subject I want to normalize the fact that finding effective ways to keep our rental units filled doesn’t come naturally. Filling apartments is actually an acquired skill which requires regular updating.

Veteran property managers use a “shotgun” approach towards marketing their rentals. They use an array of media, methods, and techniques, knowing that one of them will pay off just in the nick of time.

Since resident turnover is a property owner’s biggest expense, the best way of keeping your cash flow steady is to do all to influence residents to stay put. Treat them the way you want to be treated.

If you’re responding to your maintenance calls promptly, if your staff is courteous, if your buildings are uplifting, if your rental prices are competitive, you’re bound to have fewer turnovers.

Yet even when we screen for residents who are longer-term “settlers”, we still have those unexpected vacancies. That’s why I suggest you building a “waiting list” even when your units are filled.

Offer a token gift if prospects will leave their name and contact information to be notified about future vacancies. When you inevitably contact them be prepared to offer an incentive to move in.

Since you’re going through the effort to build a waiting list you’re wise to fill it with prescreened applicants with strong credit histories and positive reputations. Regularly adding new names of qualified candidates will pay big dividends by cutting the turnaround time to find occupants fast.

Here are a few more ideas for filling your vacancies as quickly as possible.


  1. Gather contact information on local churches and synagogues. Ask for the name of the secretary or director of services. When vacancies arise email them pertinent information useful to their congregants.

  2. Do you have a local Housing Authority in your community? If so discover how you can serve their housing needs. Ask them for their suggestions on how you can be a source of help.

  3. Create your own list of reliable current residents with whom you’ve built strong relationships. Ask for their help in finding more people like them to be their neighbors. Residents feel respected when you offer them the chance to bring in referrals. A “thank you” gift is smart too.

The Big Winner in the Rental Home Shortage: Wall Street

Corporate landlords are benefiting from the worst U.S. rental-housing shortage in more than a decade as construction trails demand and more Americans opt to lease rather than buy.


There’s an undersupply of single-family houses and apartments to rent for the first time since 2001, according to an analysis by Frank Nothaft, chief economist at mortgage buyer Freddie Mac, based on available inventory and historic vacancy rates. The deficit in the third quarter was about 350,000, the most in records dating back 14 years.


The shortage is giving the upper hand to institutional investors who spent more than $25 billion since 2012 buying single-family homes to rent. While the market for apartments has been in favor of landlords for five years, owners of houses are now able to increase rents and reduce turnover to boost profits.


“It’s that supply-demand equation that allows us to get aggressive about raising rents,” Stephen Schmitz, chief executive officer of American Residential Properties Inc. (ARPI), a landlord with more than 8,500 homes, said at an investor conference this month. “Three years ago, you would go to raise somebody’s rent and they could say, ‘I’ll go down the street and pay $100 less than I’m paying you now.’ But today they can’t because all those houses down the street are occupied.”


The U.S. rental-vacancy rate fell to 7.4 percent in the third quarter, according to Census Bureau data. The market is considered balanced, with neither landlords nor tenants having the upper hand when it comes to rents, at a vacancy rate of 8.2 percent, based on the average from 1994 through 2003, according to Freddie Mac (FMCC)’s Nothaft.

  • Taking the dog for a walk or cycling with the kids instead of watching TV

We spend our lives sitting – at our desks, in front of the TV, in a meeting or on the phone. New research is emerging highlighting the potential risk to health from all our sitting behaviour. So break your sitting time by standing for five minutes and reap the health benefits.

Every little bit counts and it all adds up to burning more calories.

If you’re overweight, making small changes in your daily exercise routine can benefit your health. In fact one study has found that just a 10% drop in weight helped overweight people to reduce their blood pressure, cholesterol and improve their wellbeing.

Eating healthily

When it comes to healthy eating, there is an overwhelming array of theories, diet books and online information about what to eat – which is often conflicting. Although the research is still ongoing and developing, what the experts all agree on is that our diets are too high in sugar, our portions are too big and we should eat a variety of whole natural foods.

Sweet enough

From sugary drinks to breakfast cereal, it’s hard to get away from sugary foods. Often the sugar is hidden in canned goods or pre-packaged foods, or even in foods we think are healthy for us, such as fruit juice. The average person takes in about 22 teaspoons of added sugar each day. According to the American Heart Association the daily target should be no more than six level teaspoons for women, and nine for men—that’s for both food and beverages combined.

The easiest way to limit your sugar intake with one small change is to cut out sugary fizzy drinks. This alone can help you to lose or maintain a healthy weight, which in turn will reduce your risk of heart disease, obesity and diabetes.

Portion distortion

Our food and drinks portion sizes have dramatically increased over the past 30 years. In the 1950’s a chip packet was 28g from a take-away restaurant – today it’s 154g – and that’s not even the supersize, which is a whopping 196g!

Portion size increases doesn’t only include the take-away portions, but packaging of goods in the supermarket, dinner plates and glasses in restaurants and even fridge sizes! Simple ways to cut your portions include:


  • Eat your main meals off a smaller plate – visually the plate looks full so you will be satisfied, but technically you’ll be eating less.

  • Dish up in the kitchen, rather than have the serving dishes at the dining table – it’s much easier to have seconds when it’s right in front of you.

  • Eat small regular meals (at least every four hours) so that you’re never starving – if you get to this point of hunger, it’s very difficult to stop before you overeat.

Choosing whole foods and cooking from scratch is a much healthier way to eat than buying pre-packaged or ready-meals which are high in fat and salt but very low in nutrients. To make sure you’re getting a variety of nutrients, vitamins and minerals into your body every day – a quick rule of thumb is to pick a variety of colours for your meals. Be the artist of your meals and paint a colour picture with a variety of yellow, red and green fruits and vegetables throughout the day.

Your body will wear a frown if your meal is all brown.

Choose life

There is nothing more damaging to a long, healthy life than smoking, which is estimated as the reason for death or disability in half the people who smoke. The dangers of smoking tobacco are so significant that it is the most important public health problem in the world, which ironically, is largely avoidable.

Smoking not only cuts your lifespan by affecting your internal organs, but it also ages you on the outside by causing skin damage. Tobacco smoking can give you wrinkles, create pucker lines around your mouth, stain your teeth and fingers, rob your skin of nutrients, break down youth-enhancing collagen and make your skin look grey. It makes you wonder how smoking is often marketed as glamorous and attractive.

It takes courage to quit smoking, as it’s not an easy journey – but it’s a brave and sensible choice. Some of the positive changes will happen quickly, while others will be more gradual, but all the changes will benefit your health and well-being.
